We are looking for a Financial and Administrative Officer to join our team at the Consulate General of Denmark in Chicago.
In this role, you will play a key part in supporting Danish export efforts and the Danish community in the Midwestby ensuring the smooth financial and administrative operations of one of Denmark’s diplomatic missions abroad. You will help maintain strong organizational performance by managing the Consulate General’s financial responsibilities, strengthening our internal processes, and contributing to an efficient and well-functioning workplace.
You will beworking alongside colleagues across Denmark’s missions in the US to create value for Danish companies and promote Danish solutions internationally. In this position, you will collaborate with both Danish and US stakeholders and serve as an essential partner in delivering high-quality administrative support.
Representing the Danish Ministry of Foreign Affairs abroad, you will contribute to an environment that values professionalism, service, and cross-cultural cooperation.
Job Description – Financial and Administrative Officer
The Financial and Administrative Officer handles a wide variety of financial and administrative tasks at the General Consulate of Denmark in Chicago. This role takes a lead in handling all financial responsibilities and projects, as well as several administrative areas such as HR-, property management-, and procurement- related assignments, and many more. Moreover, all employees are, at all times, expected to demonstrate the flexibility required to obtain the most optimal handling of the Consulate General’s portfolio. Particularly during vacation times, illness and vacancies such flexibility may be required.

The Financial and Administrative Officer is responsible for the following work areas:
- Accounting tasks, such as payments, invoicing (CRM), postings, and related processes
- Budget updates and reporting, including quarterly accounts closure
- Bank and balance sheet account reconciliations
- Support, review, and approval of travel and outlay settlements
- Property management (primary contact for leased property, parking, cleaning, building and elevator access) and IT/Tech coordination (liaison between our team and IT in Denmark; first point of contact for resolving on-site IT issues)
- Office management and administration (storage room oversight, Amazon, FedEx, and other office-related purchases)
- Onboarding and offboarding of employees and interns (contracts, computer and phone access)
- Backup for the Consular and Administration Officer, including ongoing approver responsibilities across various functions and systems
- Ad hoc tasks as required
Required qualifications
- Minimum 2-4 years professional experience in finance and accounting
- Understanding of accounting, budget and basic administrative functions
- Experience with ERP systems (e.g. Navision)
- Fluent in English (written and spoken), Danish is an advantage Danish
Super user in Microsoft Office - Excel, Word and Outlook
- A problem-solver, innovative and solution-oriented
- Proactive and you take initiative and follow through
- Reliable and Customer and service-minded in your work
- Independent but always a teamplayer
- Able to work under time pressure and are good at prioritizing
- Attentive to detail, but also able to see the bigger picture

- You will be offered full time employment for 2 years on a local contract, with the possibility of extension.
- Your standard working hours will be 37 hours per week but you will be employed without upper limit working hours.
- You will be entitled to 5 weeks (25 working days) of paid vacation days per year plus local holidays.
- You will be offered reasonable coverage of sickness expenses. So will your spouse/partner/children under the age of 26 if you provide for him/her/them.
- As part of your salary, you will be covered by a workplace pension scheme
